Phone Calls and Emails First

Make all phone calls and send all emails first, before anything else. You may need to wait for people to call back or email you back, so you want to give them a full day to do so. Schedule the first hour of your day for making, returning, and answering phone calls and emails.

Important things trump urgent things

Most people can’t determine the difference between these, but it’s this simple: you know you need to set up online bill pay for your utilities. It’s important. Your boss wants a meeting right now. It’s urgent. Set up that bill pay and then meet with the boss. Chances are, his urgent meeting will make your forget your bills, which can cause a lot of issues later on.

Quick tasks should get done before lunch

Why should you do the quick things first thing? Because it will keep you motivated when the more complicated things arise later. You’ll have energy and focus to devote to the harder tasks once you see all the smaller ones have been done. It’s mind over matter.

Arrange things according to likeness and location

You have to go to the bank, then the post office, then you need to drop off a payment with the dog groomer. The groomer and post office are near one another, so tackle them first. Then, go to the bank. You need to update your website, add photos to it, and then manage social media by including the new updates in a Facebook status. Sit down and do them all at once since they’re connected and your mind can easily focus on like items better than it can switch gears.

Don’t overbook yourself

Keep your to-do to no more than 15 items. That way, you can focus on what you need to do, get it done each day without stressing too much, and you won’t have too many items that go unfinished, stressing you out for the next day. When you commit to a list, make it happen and focus on it fully. If you finish it early, then add more items, but no more than two at a time. When making your list, remember to add things that fit the type of day you’ll have. For example, if Thursday is a mandatory meeting day, make sure your schedule all your items around that. If Friday is a half day, remember to schedule that accordingly.
